RESOLUTION NO. 7000-171 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF PARIS, PARIS, TEXAS, AUTHORIZING THE EXECUTION OF A PURCHASE ORDER FOR A LASERFICHE IMAGING SYSTEM FOR THE CITY CLERK'S OFFICE AND VARIOUS OTHER CITY DEPARTMENTS THROUGH THE GENERAL SERVICES COMMISSION; MAKING OTHER FINDINGS AND PROVISIONS RELATED TO THE SUBJECT; AND PROVIDING AN EFFECTIVE DATE. WHEREAS, the City Clerk's Office is in need of purchasing a new imaging system to store the City's official records, enabling the City Clerk's office to migrate from its use of microfiche to a system providing the capabilities of scanning records onto the City's server for sharing among the various departments, with final storage on CDs; and, WHEREAS, certain other departments of the City will additionally have the ability to scan and store their departmental records on the server, thus eliminating the need for some storage space and making the search for older documents less time-consuming; and, WHEREAS, Subchapter D, Sections 271.081 through 271.083, Texas Local Government Code, authorizes the State Purchasing and General Services Commission to establish a program by which the Commission performs purchasing services for local governments; and, WHEREAS, Section 27 1 ,083(b ). Texas Local Government Code, provides that purchases by a local government pursuant to a state contract administered by the General Services Commission satisfies any state law requiring the local government to seek competitive bids; and, WHEREAS, it is deemed appropriate that the City Manager be authorized to execute a purchase order for said LaserPiche system, which includes the LaserPiche software package, the LaserPiche Weblink software, scanning software, e-mail package.aRicohIS450DEscanner.an Avision ACIOOC scanner, and installation and training, for a total purchase price of $44,920.00; NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PARIS, PARIS, TEXAS: Section 1. That the findings set out in the preamble to this resolution are hereby in all things approved. Section 2. That the City Manager be, and he is hereby, authorized and directed to execute, on behalf of the City of Paris, a purchase order for the LaserFiche imaging system, which includes the LaserFiche software package, the LaserPiche Weblink software, scanning software, e-mail package, a Ricoh IS450DE scanner, an Avision ACIOOC scanner, and installation and training, for a total purchase price of $44,920.00.
