(3) Regular and Informative Collection Activity Reports <br />McCreary, Veselka, Bragg & Allen will report to and communicate with the <br />City Attorney as frequently as necessary. <br />Written reports to the City Council will be provided monthly, as well as annually, <br />detailing the numbers of letters mailed (detail, demand, lienholder), suits filed, <br />judgments taken, tax warrant and tax sale activity, and bankruptcy claims filed. <br />The dollar amount of the tax accounts involved will be listed. A Sample Annual <br />Report is included for your review beginning on page 44 of this proposal. <br />MVBA will provide the tax office and City Attorney with copies of all lawsuits, <br />judgments, notices of sales, abstracts of judgments, and proofs of claims in bank- <br />ruptcies. MVBA does not request that The City maintain these copies in their files, <br />but rather they are furnished to apprise The City and tax office staff of all collec- <br />tion procedures initiated. <br />(4) Taxpayer Notification <br />* McCreary, Veselka, Bragg & Allen will notify all property owners of their tax <br />delinquency. These notices are personalized letters directed to individual property <br />owners containing the property description, the years and amounts due and the <br />address of the tax office at which payment may be made. <br />* MVBA will mail delinquent tax notices to persons listed on the delinquent tax roll <br />four times each year to insure that each delinquent property owner is aware of their <br />tax delinquency. <br />* MVBA pledges to process delinquent tax tapes from receipt of the tape to mailing <br />of the notices in 7-10 days except under extraordinary circumstances. <br />* In addition to the four delinquent tax mailings, MVBA will prepare and mail the <br />May notice letter required by statute. <br />* The delinquent tax notices sent by the Firm are constantly monitored for returned <br />mail. Address research is conducted on returned mail and new notices sent promptly <br />to notify all property owners of the delinquency. The Firm will advise the tax office <br />of all new addresses which we identify. <br />* MVBA will make a concerted effort to collect small accounts through letters, <br />phone calls, personal visits and tax warrants. <br />* MVBA will monitor all payout arrangements for current activity, maintain records, <br />and follow-up unpaid accounts quickly and systematically. <br />McCreary, Veselka, Bragg & Allen <br />
