Hard Copy File Maintenance <br />FNI utilizes a document filing procedure that places atl project-related materials in <br />files categorized by type of document for later retrieval and database entry. Each <br />file has a bar coded serial number which corresponds to a record in our database. <br />For sensitive projects, a stand-alone locked file cabinet can be used. The project <br />manager or a designated project team member controls access to this locked file <br />cabinet. FNI has several docu- <br />ment shredders strategically placed throughout the building. <br />Archived Material <br />FNI archives projects upon project completion. Upon completion of a project, the <br />project manager is responsible to have someone review the project's hard copy files <br />and remove and shred (if sensitive) any unnecessary documents before the files are <br />placed in storage. Bar codes are updated in the database and hard copies are placed <br />in FNI's on-site file storage. Archived electronic files are written to tape or DVD, <br />removed from the network and placed in storage. For sensitive projects, files (hard <br />copy and electronic) can be placed in restricted storage that requires authorization <br />for access. <br />Vulnerability Assessment and Emergency Respon:e Plan SOQ page 19 <br />
