PARIS PUBLIC LIBRARY ADVISORY BOARD <br />MINUTES <br />May 29, 1991 <br />The Paris Public Library Advisory Board met in delayed <br />session, May 29, 1991, at 4 P.M. in the Library Gallery <br />with Virginia Gibbs, Chairman, presiding. Members present <br />included Jackie Alsobrook, Jean Gibson, Bill Hagood, Bill <br />Neely, Rogene Patterson, and Frances Ellis, Secretary. <br />Absent were Joe Rex and Beth Shelton. Beverly Lewis, <br />Library Director, was present. <br />The Minutes of the April 17, 1991, meeting were approved <br />as circulated. <br />The Director discussed the budget report, noting the <br />Library was in the seventh month of the fiscal year and <br />under budget, having used 55.110 of the allocated amount. <br />She discussed the circulation report showing a total <br />circulation of 12,205 for April 1990 compared to 15,585 <br />for April 1991, and a total of 105,588 for the year to <br />date. Members discussed the Interlibrary Loans, showing <br />112 for April, and the Director explained these were <br />requested books not in the Library's own collection. She <br />said 270 adult and 255 juvenile books had been added <br />during April and 334 were withdrawn. <br />The Director discussed the proposed change in the Gallery <br />Policy, saying she checked with T.K. Haynes, City <br />Attorney. Mrs. Ellis moved the adoption, motion seconded, <br />discussed, and passed. A copy is attached to these <br />minutes. <br />The Director discussed the Summer Reading Club and summer <br />programs. She advised Long John Silver's had offered to <br />be a new sponsor and donated 100 kiddie meals. <br />The Director provided a copy of a Memorandum to the City <br />Manager, Michael Malone, and the Advisory Board, regarding <br />Library Automation. She noted it would probably be a <br />two -year project to provide the public on -line catalog, <br />circulation module for Library staff and the cataloging <br />module. The fourth module for acquisitions is not ready <br />yet for libraries to purchase. She explained there would <br />need to be a full -time staff member to oversee the project <br />and continued use of the system and two more would be <br />needed on a temporary basis to get it in operation. She <br />explained the five steps in acquiring an automated system <br />include obtaining an R.F.I., checking out two or three <br />major vendors' systems, preparing a request proposal, <br />visiting other libraries with automated systems, and <br />seeing a demonstration.
