Vulnerability Assessment and Emergency Response Plan 50Q page 19 <br />Hard Copy File Maintenance <br />FNI utilizes a document filing procedure that places all project - related materials in <br />files categorized by type of document for later retrieval and database entry. Each <br />file has a bar coded serial number which corresponds to a record in our database. <br />For sensitive projects, a stand -alone locked file cabinet can be used. The project <br />manager or a designated project team member controls access to this locked file <br />cabinet. Only designated individuals are authorized to access the project files. <br />Team members are required to file project material as soon as practicable in order <br />to maintain security. <br />Discarded Material <br />For sensitive projects, discarded material is shredded daily. FNI has several docu- <br />ment shredders strategically placed throughout the building. <br />Archived Material <br />FNI archives projects upon project completion. Upon completion of a project, the <br />project manager is. responsible to have someone review the project's hard copy files <br />and remove and shred (if sensitive) any unnecessary documents before the files are <br />FREESE AND <br />placed in storage. Bar codes are updated in the database and hard copies are placed <br />NICHOLS: <br />in FNI's on -site file storage. Archived electronic files are written to tape or DVD, <br />removed from the network and placed in storage.
