04/21/2016 MINUTESREGULAR MEETING MINUTES PARIS MUNICIPAL BAND COMMISSION CITY COUNCIL CHAMBERS 107 E. KAUFMAN ST, PARIS, TEXAS THURSDAY APRIL 21, 2016 A-00 RM Present Absent Chairman Randy Bunch Christian Lindsay, At large Joe Watson, Band Director JoAnna Parsons At large Patsy Daniels, At large Cheri Bedford, City Liaison Edwin Pickle, Council Liaison 1. Chairman Bunch called the meeting to order at 4:00 p.m. Quorum present 2. Chairman Bunch presented the Financial Report for 2015 Season and noted there was $280.09 left over after the season ended. 2016 financial statement shows available funds of $22,956.29 I Approval of minutes March 25, 2015, and noted there were no meeting official meeting minutes from the November, 18 2015 meeting Joe Watson made a motion to approve the March 25 meeting minutes as presented, seconded by Patsy Daniels, Motion carried 4. Work Plan for 2016 Season A. Schedule was presented and approved, and noted reservation was taken care of for the season at Bywater's Park. Discussion held on location for the June 10, 2016 concert in case of inclement weather and it would be held in the Weger Auditorium. Mr. Watson would take charge of the reservation of the auditorium. B. Mr. Watson presented the invitation letter that will be sent to the current band members. Mr. Bunch noted one correction to June 28 & 30 practice times. Mr. Watson will make corrections and get the letter to Cleonne Drake who will distribute for the band around the 15t of May, 2016. C. Mr. Watson informed the commission the Paris 4th of July celebration at Noyes Stadium would be held on Sunday July 3rd D. After some discussion on the concert time of the Crepe Myrtle Coronation it was decided that the time for this would change from 8:30 p.m. to 7:30 p.m. since this event is held at the Weger Auditorium. Mr Watson will secure the Weger Auditorium for this event. E. Paul Denney has agreed to do the sound for the same cost as last yea r. F. Mr. Bunch will secure the U -haul Truck approximately 3 weeks prior to the season G. Councilman Pickle offered to donate the paper to the band needed for their music. 5. New Business a. Discussion on sales of concession at the municipal band concerts, and Cheri Bedford offered to look into what it took to get sponsoring groups so the concessions were available to the public during the concert. These concession stands would be simple items such as popcorn, and soft drinks and water. It was noted that water was a need, and this could only be done with help of outside groups. Due to space & noise constraints, food trucks are not an option at this time. b. Cheri Bedford and Councilman Pickle will get together to create a poster for distribution announcing the coming season. Other ways to inform the public were discussed, such as social media and The Paris news entertainment section listing. c. Dates for the next meeting are tentatively September 15 or22, 2016 and January 19 or26, 2017 depending on availability of the council chambers. Cheri Bedford will check on this. d. Cheri Bedford asked the commissioners if they were opposed to receiving their minutes and agenda via email. She can bring the Agenda and Minutes up on the computer at the meeting in the council chambers. Everyone agreed that would be fine. A printed copy will be available on request. Agenda and Minutes are and will continue to be posted in the city hall annex and given to the City Clerk for the records. 6. Old Business- No old business 7. Paris. Friday, June 10th at Bywaters- ( Weger auditorium in case of rain) Friday, June 17th at Bywaters Friday, June 24th at Bywaters Sunday, July 3rd at Noyes Stadium Friday, July 8th at Bywaters Friday, July 15th at Paris Jr. High For Crape Myrtle Coronation 7:30 p.m. In case of rain, all Concerts with the excepton of June 10 will be at Pavilion by Love Civic Center
