Contingency TOTAL $ 5,000 1,000 11,000 900 1,200 600 150 1,000 20,850 POLICY DOCUMENT Paris Municipal Band PURPOSE: To provide summer band concerts for the residents and visitors of Paris through a volunteer band in Bywaters Park and at the annual fireworks display. GUIDANCE: The Band is guided by the Paris Municipal Band Commission made up of members of the community and the Band Director. The Commissioners are appointed by the Mayor of Paris. The Band Director is hired by the Commission. • The National Anthem will be played by the Paris Municipal Band for all guest accompanists and singers. Taped music will not be allowed while the band is waiting to perform. • All guest accompanists and performers will be at the discretion of the Band Commission. • Special events for at which the band will perform will include the Crape Myrtle Queen Coronation and the Rotary Clubs' Fireworks Display. Other consideration for events will be at the discretion of the Paris Municipal Band Commission. Any special needs regarding setting up of equipment or chairs will be arranged for by the organizing body, and coordinated through the Band Director. • A set program will include the theme song "I Love Paris", the National Anthem and will last approximately one hour. • Membership in the Band will be at the discretion of the Band Director, depended upon playing ability and age of the member. Solicitation of band members will be solely by the Band Director. MINUTES Paris Municipal Band Commission A meeting of the members of the Paris Municipal Band Commission was held on Friday, July 30, 2004, at 12 noon, in the Conference Room of the Lamar County Chamber of Commerce. PRESENT Jim Brunette Linda Suarez Randy Bunch ABSENT Albert Nichol Edwin Pickle Also present was: Tom Neugent, Director, Paris Municipal Band The meeting was called to order by Chairman Randy Bunch at 12:05 p.m. As the first order of business, the minutes from the previous meeting held on May 13, 2004, were unanimously approved as submitted on a motion by Jim Brunette, seconded by Linda Suarez. A review of the 2004 concert season included an overall feeling that the season was good with a great attendance, despite the lack of support form The Paris News. Discussion regarding promotions included not printing a poster because there is no one available to distribute them and revamping the ad in The Paris News to one large, one- time ad as opposed to six smaller, weekly ads. Discussion regarding policy changes for band membership and solicitation of band members was held and clarifications will be added to the Policy Document. Discussion regarding increasing budget to accommodate growing number of band members was debated. The Band Commission is just going to have to watch this area next season. Two items were unanimously approved for clarification in the Policy Document on a motion by Jim Brunette, seconded by Linda Suarez. These changes are included in the attached Policy Document.
