Expense Policy DRAFT F:\Attorney\ALICE\RESWORK\CURRENT\Policy for Reimbursable Expenses - City Council Res.wpd April 7, 2004 RESOLUTION NO. _______________ A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF PARIS, PARIS, TEXAS, ESTABLISHING A POLICY REGULATING REIMBURSABLE EXPENSES INCURRED ON BEHALF OF CITY COUNCIL MEMBERS AND SENIOR STAFF MEMBERS FOR ATTENDANCE AT EVENTS WITHIN THE CITY LIMITS OF THE CITY OF PARIS; MAKING OTHER FINDINGS AND PROVISIONS RELATED TO THE SUBJECT; AND DECLARING AN EFFECTIVE DATE. WHEREAS, the City Council of the City of Paris deems it appropriate to establish a policy designating those events occurring within the city limits of the City of Paris, Texas, for which Council NOW, THEREFORE, Members will be eligible for reimbursement by the City of Paris; BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PARIS, PARIS, TEXAS: Section 1. That the findings set out in the preamble of this resolution are hereby in all things approved. Section 2. That from and after the date of the adoption of this resolution, attendance by members of the City Council of the City of Paris and by City Staff Members of the rank of Director or above at the following events occurring in Lamar County shall be eligible for reimbursement by the City of Paris: (1)_________________________________________________________________. (20)__________________________________________________________________. Section 3. That reimbursement for attendance at the events enumerated herein shall be limited exclusively to the actual out of pocket expenses incurred by the City Council Member or City Staff Member. Costs incurred on behalf of spouses or guests shall not be eligible for reimbursement. Attendance at other events occurring in Lamar County not listed herein shall not be eligible for reimbursement. Section 4. That luncheon costs incurred by senior staff members at local restaurants within the city limits of the City of Paris shall be eligible for reimbursement only when such costs were incurred by the staff member in furtherance of that staff member's responsibilities, and were incurred on behalf of special consultants to the City; were incurred associated with the staff member's attendance at committee, board, or other group programs that require the staff member's attendance because the staff member is a member of the governing body of said entity; or were incurred as part of the interview process for potential job applicants. Luncheon costs for City Council members shall not be reimbursable. Section 5. That this resolution shall be effective from and after its date of passage.
