This tool helps establish adequate measures and controls over projects and finan- <br />cial performance and serves as a monitoring guide. <br />Our quality program provides protocols for managing corrective actions and rele- <br />vant process improvements to see that performance and compliance deficiencies are <br />corrected and not repeated. <br />Continuous tracking and monitoring of project trends, issues, and corrective actions mean g1110111111 <br />that items are updated across related documentation and training programs to provide compli- <br />ance and maximum efficiency with updated and clarified project requirements. <br />GrantWorks offers detailed and ongoing internal training to its staff. We educate employees on the latest <br />state and federal regulations via weekly meetings and department and company -wide emails. Senior <br />management puts extra time and effort into contextualizing regulatory changes and program require- <br />ments so that our staff understands the implications of any programmatic change and can apply that <br />knowledge effectively. Our project team develops and implements project -specific internal and external <br />checklists, and employees meet with management on a regularly. Our staff also benefits from informal <br />peer-to-peer learning and coaching opportunities. <br />GrantWorks staff also track and monitor sub -recipient performance for each project and grant program, <br />including tracking deliverables and performing compliance testing. We periodically evaluate client <br />compliance with applicable state rules, regulations, policies, and statutes. We retain extensive institu- <br />tional records of client performance, which we rely on during new application cycles to boost our clients' <br />scores. This information helps project managers anticipate and address problems we have seen in the <br />past before they become an issue for future projects. <br />Weekly departmental and one-on-one meetings keep GrantWorks staff updated on the latest state and <br />federal regulations and provide a forum for identifying and discussing programmatic challenges and <br />solutions. We assign project managers and support staff to learn from their more senior colleagues. We <br />also continuously evaluate our processes for quality assurance with frequent compliance checkpoints <br />throughout a grant's life cycle to monitor conformance to project requirements. <br />2.5 Past Client Projects withLow Level of Monitoring Findings/Concerns <br />More than 625 government entities have trusted GrantWorks with grant management and administra- <br />tion, and our performance consistently demonstrates low levels of monitoring findings or concerns. The <br />GrantWorks Team has followed thousands of grants from obligation through closeout and has developed <br />a keen understanding of what constitutes entirely supported grant records. Our seasoned veterans will <br />assist the City with fiscal monitoring by following established policies, procedures, and system controls <br />to see that documentation complies with relevant local, state, and federal regulatory terms. <br />Our broad knowledge of federal and state program requirements enables us to provide well -researched <br />and accurate technical assistance and an overall approach that identifies and addresses problems long <br />before the state funding agency audits occur. <br />GrantWorks staff establish, implement, and retain quality control measures to meet client and state deliv- <br />erables and timelines—reducing the likelihood of findings during the grant monitoring process.
