FREESE AND
NICHOLS:

HELPING YOU

PROTECT YOUR

WATER SUPPLY

Innovative approaches. .

..

Fr.... .ncII Nicholl

practical results

Hard Copy File Maintenance
FNI utilizes a document filing procedure that places all project-related materials in
files categorized by type of document for later retrieval and database entry. Each
file has a bar coded serial number which corresponds to a record in our database.
For sensitive projects, a stand-alone locked file cabinet can be used, The project
manager or a designated project team member controls access to this locked file
cabinet. Only designated individuals are authorized to access the project files.
Team members are required to file project material as soon as practicable in order
to maintain security.

Discarded Material
For sensitive projects, discarded material is shredded daily. FNI has several docu-
ment shredders strategically placed throughout the building.

Archived Material
FNI archives projects upon project completion. Upon completion of a project, the
project manager is responsible to have someone review the project's hard copy files
and remove and shred (if sensitive) any unnecessary documents before the files are
placed in storage. Bar codes are updated in the database and hard copies are placed
in FNl's on-site file storage. Archived electronic files are written to tape or DVD,
removed from the network and placed in storage. For sensitive projects, files (hard
copy and electronic) can be placed in restricted storage that requires authorization
for access.

Vulnerability Assessment and Emergency Response Plan SOQ

page 1 9
