2.1 Submits Requests to the Cityin a Timely r <br />GrantWorks' proactive management approach keeps us ahead of the curve. We think, <br />plan, and act in anticipation of constantly communicating, submitting and responding to <br />requests promptly. We allocate adequate staff and resources to implement each project <br />successfully and employ tracking systems, project checklists, weekly and biweekly portfolio <br />reviews, and email management protocols to keep the City and the project team connected and <br />on track. <br />These tools and strategies help us identify potential project risks early, anticipate future project needs, <br />and submit requests in a timely manner. GrantWorks' project managers maintain detailed project calen- <br />dars with information on key dates for submittals of project documentation and milestone targets. Project <br />managers conduct no less than two monthly project portfolio management reviews, during which every <br />performance aspect is discussed, including anticipated requests from clients and funding agencies. We <br />have developed comprehensive project checklists to plan tasks and prepare information for agency <br />requests or project deadlines. Additionally, every project manager receives ongoing training and weekly <br />updates on agency requirements and submission deadlines to anticipate future requests. These mea- <br />sures mean no box is left unchecked and no request is overlooked. <br />2.2 Responds to the City'sgists in a Timely r <br />We feel that it is essential to respond to the City's requests in a timely manner, and our goal is to address <br />and handle concerns professionally, effectively, and swiftly. As part of GrantWorks' project management <br />training, our employees learn the importance of timely communication, prioritizing competing issues, and <br />allay dissatisfaction when a client is unhappy. <br />With decades of experience, our team has a solid knowledge of HMA program -specific requirements. <br />We have used that experience to develop successful management strategies to respond to client re- <br />quests quickly and accurately. This broad knowledge base allows us to support our clients effectively <br />and efficiently and successfully implement all projects to meet federal and state requirements. Effective <br />stakeholder communication and coordination enable us to respond quickly to requests without sacrific- <br />ing quality. Project managers are assigned workloads that provide them with the capacity to focus on <br />project implementation and client needs. The GrantWorks management team oversees staff workloads <br />and sees that staff implement time management and communication strategies effectively. <br />2.3 Facilitates Completion f Activities on Schedule <br />Extensive experience has given us an unrivaled ability to predict and mitigate delays early in the project, <br />chart critical paths to achieve a timely completion, and understand the importance of sticking to the path. <br />At the start of each project, our project managers meet with clients, engineers, and stakeholders to <br />discuss potential alternative project activities. <br />We quickly identify and obtain all necessary permits, easements, and rights-of-way to avoid delays <br />caused by unforeseen amendments or acquisitions. <br />At each project step, we work with stakeholders to meet the scheduled milestones while maintaining <br />compliance with all federal and state requirements. <br />We work closely with local governments, engineers, and other parties to keep projects in confor- <br />mance with project performance statements and schedules. <br />PAGE 12 1 SEC I ION 2 - WORK PERFORMANCE PROPRIETARY & CONFIDENTIAL I GRANTWORKS, INC. <br />
