City Council Meeting <br />December 11, 2000 <br />Page 9 <br />motion carried 6 ayes, 0 nays. <br />Mayor Pfiester called for consideration of and action on the use of paperless <br />agendas for future Council meetings. <br />City Manager Malone pointed out that a number of the City Council Members <br />attended a Texas Municipal League meeting in Austin recently and there was <br />a report made there about the use of paperless agendas by the city of DeSoto. <br />There are other cities that utilize paperless agendas. City Manager Malone <br />explained that paperless agenda means just what it says. He said the city will <br />post a paper agenda on the official bulletin board for the city and will fax the <br />media a copy of the agenda. He stated that there is a lot of explanatory <br />material that is provided to the City Council in their agenda packet for their <br />study before the City Council meeting. City Manager Malone said the agendas <br />for the City Council meetings will be posted to the city's website. City <br />Manager Malone advised that the LaserFiche equipment is the basic type of <br />equipment that is needed to provide the paperless agendas to the City <br />Council. He said this equipment actually scans documents that are created <br />and takes a picture of them and then posts them to the website. The <br />documents are created in WordPerfect and can be e-mailed to the City <br />Council if they have an internet connection and a computer, but the only way <br />to do this effectively and not cause city staff any undue amount of work is to <br />utilize the LaserFiche imaging system. <br />Lisa Wright, a member of the Technology Committee forthe City of Paris, came <br />forward making a presentation of information collected after extensive <br />research regarding the subject of paperless agendas and the use of <br />LaserFiche imaging systems. Ms. Wright said that the Technology Committee <br />reviewed the LaserFiche system a few months ago when the City Clerk <br />presented it to them, and at that time, they made a recommendation to <br />purchase the web-link software that comes with it. She said this is the <br />software that will enable the city to convert document to a format that can be <br />placed on the web site. The reason for the recommendation to go ahead and <br />purchase it now is because if it is purchased later as a module it is more <br />expensive than if it is purchased at this time; but the Committee did not <br />anticipate going ahead and taking our internet site live. Ms. Wright said in <br />orderto getthe paperless agenda in effect immediately, the City Council needs <br />to authorize purchase of the module in the amount of $5,115.00 that will allow <br />
